The Position: Front Desk Administrator / Office Coordinator 

We are seeking a Front Desk Administrator / Office Coordinator who loves to work in a fun, yet fast-paced creative environment. The ideal candidate will create a positive welcoming environment for frog employees, clients and guests, while assisting with maintaining a high level of professionalism when providing various administrative assistance to frog’s other teams.  

The person in this position must be a team player, ambitious and self-motivated in a high-pressure, untraditional environment.  Administrative representative to specified departments for such tasks as written communications, meeting schedules, light travel coordination, etc.

The Contribution:

-Manages and maintains the appearance of the reception area
-Providing customer service for visiting client / frog visitors
-Maintain conference room calendars (including appointments and reminders),
-Maintains the appearance of the conference rooms, client areas and break rooms
-Answer and transfer incoming calls
-Enter timesheets for your respective studio on a weekly basis using timesheet tool (SAP)
-Receiving, sorting, distribution and shipping of mail, faxes, and packages
-Arranges catering, meeting coordination, set-up, breakdown and all studio event preparation
-Manages visitor security access card de/activation, distribution and retrieval process
-Serve as primary contact and provide day to day support to the Director of Cross Studio Operations
-Thorough knowledge of company’s operational duties
-Demonstrate judgment, tact and diplomacy in dealing with internal and external customers
-Ability to obtain solutions on complex issues and challenges as they arise
-Assist administrative duties to other departments as needed

-1-3 years of experience in an administrative capacity
-Ability to prioritize and be proactive
-Excellent organizational skills
-Knowledge of phone system
-Self-starter and needs minimal supervision
-Database experience; SAP experience a plus
-Excellent interpersonal/communication skills
-Resourceful, meticulous and ability to maintain confidentiality are critical
-BA/BS or equivalent education a plus
