Job Title: Administrative Services Assistant

Position
The Administrative Services Assistant is a member of the Operations (Ops) Department. This is a full time position.

Operations Department Description
The Ops Department plays an integral role within a busy non-profit organization. The main purpose of the department is to provide a rewarding professional experience for all staff members, to help technical and scientific staff maximize their effectiveness, and to enable our collaborators and partners to join us in achieving common goals.

The Ops Department supports an internal system of performance measurement and management, while helping to maintain a collegiate culture of accountability. We also ensure that appropriate resources are in place and applied for the most efficient and effective delivery of the Institute’s scientific and technical products and services.

Qualifications

Requirements
• 2-year Associate degree or equivalent experience required. Minimum 2 to 5 years office service experience supporting multiple departments.
• Candidates should be a self-starter, dependable team player and natural creative problem solver.
• Knowledge of Microsoft Office suite – Google, Excel, Word. Comfort working with Google Apps (Google Calendar, Gmail, Google Doc/Sheets/Slides).
• Possess high organizational skills in managing multiple projects simultaneously and has the ability to create organizational systems and processes
• The employee must occasionally lift and/or move up to 25 pounds

Responsibilities

General Administration

• Answer phones /greet visitors
• Copy/file/fax/mail distribution
• Help coordinate and execute employee appreciation events, including communication to staff, and day-of-event support
• Assist staff with office equipment issues
• Inventory of office supplies & purchasing
• Stock supplies (supply cabinet, kitchen, snack cabinet & storage room)
• Register staff for conferences, classes and other training.
• Travel arrangements for staff and visiting guests
• Meeting coordination (in house & off site)
• Assist Executive Director with Board meeting prep and transcribe meeting minutes.
• Accounts receivable –process bills/invoices for payment
• Assist with office set up/office moves
• Complete daily check of facilities for appearance, orderliness, lights working, furniture in place, etc., record areas in need of repair and take action to handle or follow up to be sure items are addressed as needed
• Maintain truck logs and maintenance schedules
• Special projects assigned by the Administrative Services Manager
